Crate, edit and delete room groups

Introduction

By putting members in one or more room groups, these groups can be used to control access rights in Interaxo, as well as distribution of information to other members. 

List room groups

From the Groups menu:

  • Click the Groups menu for that particular room
  • The list of all room groups in the room is presented

From the room member list

  • Click the Groups column for the particular member
  • This member's group is listed

Create room groups

To create a room group in a room is either performed from the Groups menu or from the Room member list.

From the Groups menu: 

  • Click on the CREATE GROUP button
  • Name the room group with a unique name (required)
  • Create a Description
  • Give the room group one of the three roles Observer, Participant or Administrator (required)
  • Select group members by using the member selectors (simple or advanced)
  • Remove members by clicking the REMOVE button
  • Click the SUBMIT button to create the new room group

From the room member list: 

    • Select the members you want to include in the new group
    • Click the ADD TO GROUP button
    • Select an existing group and click the SUBMIT button to add the members
      OR
    • Select the CREATE GROUP button to create a new room group.
      You will now see that the pre-selected members have been added to the group.
      Remaining steps are as described in "From the Groups menu" above

 

Maintain room groups

Make changes to a room group

  • Click the Groups menu 
  • Select the desired group and click the ADMINISTER button (or simply click the group's name)
  • Change group settings as needed:
    • Rename the group if desired (the new name must be unique in the room)
    • Change the description if desired
  • Add or remove members as described above
    Click the SUBMIT button to see the changes 

Add a member of the room to a room group from the member list

From the member list, you can add a specific member to an existing room group by performing the following steps:

  • Click the Groups column for that room member
  • Add the member to a new group by using the group selector
  • Select group and click outside of the group selector to add the room member 
    Note: This change is performed immediately.

Add multiple room members to an existing room group 

  • Select the members in question on the room member list
  • Click the ADD TO GROUP button
  • Select a group and 
  • Click the SUBMIT button

Remove a member from a room group from the member list

  • Click the Groups column for the desired member
  • Click the checkbox for the room group to remove the room member.
    Note: This change is performed immediately.

Delete room groups

Be careful when deleting groups. This will change the rights for the access group members to  room content, i.e. access to folders, files and entries. Room groups can be deleted by performing the following steps:

  • Click the Groups menu for that room
  • Select the desired group and click the DELETE button
    Please confirm whether you want to delete the group or not.
