How do I create a Visual Board?

General

For the time being, the underlying workflow will have to exist before creating a new Visual Board (VB). The procedure for creating an active folder with workflow is not described here, please see the relevant help article. 
In addition, all disciplines will have to be defined by the administrator.

Perform the following steps to create a new VB:

  1. Log in as the Room Administrator in the Administration client

  2. From the Boards overview, click the NEW BOARD button

  3. Select the underlying workflow folder from the list of active folders with workflow in the room

  4. Fill in all required infomation about the new board (see below)

  5. SUBMIT board settings

The new board is now accessible to relevant users.

Board settings

The new board needs to be linked to the underlying workflow folder in order to define cross references  for mandatory steps and fields. The following settings needs to be defined:

  • Name
    Mandatory. Free-text field.

  • Description
    Optional. Free-text field.

  • Question 
    Mandatory. Free-text field, select the desired custom field from the chosen workflow.

  • Answer 
    Optional (do NOT set this field as mandatory). Free-text field, select the desired custom field from the chosen workflow.

  • From 
    Mandatory. Discipline to be selected from the drop-down list.

  • To 
    Optional. One or more disciplines to be selected from the drop-down list.

  • Answer Due date
    Optional. Date field, select the desired custom field from the chosen workflow folder.
    By ticking off the Due date check box, 2 new custom fields are added when configuring the underlying workflow folder:

    • Responsible
      Optional, but a person from one of the To disciplines can be selected as the main responsible person.

    • Completed
      This field can be used to mark the question as Completed. By moving the question to the Decision log step, this field is automatically set to Completed

  • Initial step 
    Mandatory. To be selected from the list of steps in the chosen workflow.

  • Decision log step 
    Mandatory. To be selected from the list of workflow steps, but the already selected Initial step is  excluded.
