Manage distribution groups

Introduction

By using Distribution Groups, multiple rooms across a community can be populated with a large amount of members in one go. In addition, Distribution Groups can be used for notifications and sharing content with all group members.

As a Community Administrator I can administer distribution groups if the Distribution groups feature has been enabled for the community.

Note: Distribution groups cannot be used to assign access rights to users.

Available functionality

Community Administrators can

  • List all distribution groups in the community
  • Open a distribution group
  • Change a distribution group's Name and Description
  • Create distribution groups
  • Add community members to a distribution group
  • Remove community members from a distribution group
  • Add a distribution group to multiple rooms
  • See which rooms a distribution group has been added to
  • Remove a distribution group from all/selected rooms

Room administrators can

  • See the list of distribution groups added to a room
  • Add a distribution group to a room in order to add all group members to the room
  • Make a distribution group a subgroup of room groups (not implemented yet)
  • Remove a distribution group subgroup from room groups (not implemented yet)
  • Remove distribution groups from a room
  • Share content with distribution groups

By using the Interaxo client, Room members can 

  • See the room member list with all distribution group members included on the Members tab
  • Share content with distribution groups

Adding a Distribution Group to multiple rooms

As the Community Administrator, perform the following steps in the Administration client:

  • Click the Distribution groups menu item
  • Select a distribution group in question from the list
  • Click the ADD button to get the list of available rooms
    (the list contains all rooms the distribution group has not been added to) 
  • Filter the list if desirable
  • Select the distribution group's default role in the rooms
  • Check all, or some rooms, to which you want to add the distribution group
  • Select deviant roles for individual rooms, if expedient
  • Click the ADD button

Removing a Distribution Group from multiple rooms

As the Community Administrator, using the Administration client, perform the following steps:

  • Click the Distribution groups menu item
  • Select the distribution group in question from the list
  • Click the SHOW ROOMS button to see the list of rooms to which the distribution group has been added
  • Filter the list if desireable
  • Tick off all, or selected rooms, from which you want to remove the distribution group
  • Click the REMOVE button
